How to Organize Shipping Label PDFs
Busy days can mean several label PDFs from the same marketplace: separate downloads, different dispatch times or more than one account. This guide shows how to organize shipping label PDFs into one routine you can repeat every day.
The aim is simple: one batch in, one print-ready file and one picking list out.
Step 1: Collect the day’s files in one folder
Download every label PDF for the day from your seller panel into one folder. Keep separate folders for each marketplace, because each one is processed with its own label reader.
Step 2: Add all files at once
Open the label tool, choose the marketplace and select all the PDFs from the folder in one go. There is no limit on the number of files.
Step 3: Fix any duplicate names
If two files share a name, ignoring upper and lower case, the second one is skipped and the tool names it. Rename that file, for example by adding a number, and add it again.
Step 4: Set the options and process
Files are read one at a time as soon as you add them. Then choose the sort type, the layout and the SKU and order summary, and press Generate Labels PDF.
Step 5: Pick one sorted PDF or a ZIP of each file
Download the sorted PDF to get every label from every file in one file with one summary. To keep one PDF per original file instead, choose the ZIP download.
Step 6: Print the summary as a picking list
Print the summary page and use it to collect stock: it lists every SKU with its order count and total quantity, plus a courier breakdown when pickup details are available.
Step 7: Add invoices if you pack them
If you crop the labels and still put an invoice in each parcel, turn on Add invoices at the end. Invoices are added after the labels, one per A4 page, in the same order as the labels. Without cropping, each invoice simply stays on its page.
Step 8: Keep the original PDFs
Nothing is saved once the tab is closed, so keep the original files from the seller panel in their folder. You can process them again at any time.
Name your files so duplicates don’t happen
Seller panels often give downloads the same default name. Rename each file as you save it, using the marketplace, the date and a running number, such as meesho-07-10-2026-1.pdf. Duplicates are then rare, and the processed files are easy to tell apart.
Large batches
Files are processed one after another to keep memory use down, but everything still happens on your own device. If a very large batch makes the browser slow, split it into two or three rounds. You can cancel processing at any point; files that are already finished stay available to download.
Before you print
- Open the combined PDF in a new tab and scroll through it once.
- Compare the order count on the summary page with what your seller panel shows for the day.
- Look at any file with a warning. Labels without an order number are listed on the summary page.
